Detects duplicates
and near-duplicates
On data input, the MerlinOne system identifies duplicate files based on MD5 hash values. Check a box and duplicate files can be instantly hidden from view so you do not waste time looking at the same documents or emails. Since duplicates are only identified and not deleted, the system provides access to all instances of the file, thereby retaining custodian information.

Automates speech-to-text for video and audio
MerlinOne special capabilities include a unique technology that allows the indexing and searching of spoken words in video and audio files. You don’t have to wait for a transcript from a deposition or voicemail to start searching on key words or phrases, and MerlinOne cues up the video or audio file to the place where the phrase or word was found.

Presents emails as threads
While tagging an individual email, a reviewer can quickly select emails or attachments within the same email thread and then apply the same tagging values to other emails in the thread or to the attachments with a single mouse click. All parent-child relationships between emails and their attachments are retained.

Fast and efficient processing of native files, PDF and TIFF data
During import of a case dataset, MerlinOne extracts all metadata attached to the file as well as any text embedded in the file. If no text is detected for a TIFF or PDF document, MerlinOne automatically OCRs the files on input, indexing the text so that the document is full-text searchable.

Processes load files automatically
The MerlinOne Integrated e-Discovery System will process Concordance® load files and attach the metadata to the accompanying documents. Field mappings are configurable with options to prepend, append and combine metadata field values. If the load file indicates relationships between emails and its attachments, MerlinOne will automatically link the files and retain those relationships.

Re-unitizes large PDF documents
On occasion you may receive a large PDF file that really contains many separate documents all jumbled together. MerlinOne’s re-unitization tool lets you view the pages and easily indicate where one document ends and another begins. As a result the big PDF is split into separate documents, ready to be assigned to reviewers.

Easily assign documents to reviewers
Document assignment to reviewers is as simple as moving documents into a folder with the reviewer’s user name. When a reviewer logs in, the MerlinOne system can present only the assigned documents to that reviewer so she may begin her work immediately.

Expedites the review of documents
The user-friendly, intuitive interface allows reviewers to quickly identify privileged, protected and responsive documents, assign issue codes, and apply any other customizable tags to a document. MerlinOne tracks the review progress, displaying how many documents within an assigned set have been reviewed. The last reviewed document is bookmarked, and upon logging back in to the Web interface, a single click of a button presents the user with the next item to be reviewed. A memory recall feature allows stored tags to be applied quickly.

Provides flexible production options
When producing documents, users have the option of performing a native production or a TIFF production. The user can choose whether to produce native files or TIFF files based on each document file type within the case. Emails are produced individually as TIFFs, PDFs, or MSG files. Users may specify a Bates prefix and apply Bates numbers to both native and TIFF document productions.

System administration tools
Administrative users can create new cases through a simple Web interface with the opportunity to specify issue codes, entities, custodians and witnesses for a particular case. They can create new user accounts and provide those users with access to specific cases and the features of the system they are allowed to utilize, including search, review, download, re-unitization, user account setup, and production.
